The advantages of going paperless are about efficiency and economics. A paperless business finds that it saves in time management, paper and paper related costs as well as being more efficient and more environmentally responsible.
The drive to become paperless has also spawned a new industry. This industry is the paperless document management industry. Technological advances have really been the driving force behind the paperless push. The electronic document management and electronic document delivery systems allow businesses to cash in on the paperless revolution.
The cost of going paperless can save a business plenty of money. The cost of paper alone is reduced along with the cost of ink and the running costs of printers and photocopiers. Then there's the cost of storage and staff for filing away all the paperwork. The other cost is when a piece of paper goes missing, the man hours per year looking for misplaced paperwork is incalculable.
Efficiency is also increased, not just by having to look in files and track down misfiled papers, but also in multiple people being able to access a document at the same time. It is far easier to discuss problems with a document when both parties are able to look at the said document when in different cities, states or even countries. Mistakes are far easier to correct and swifter too.
Green is hot and from small businesses to banks, doctors and airlines we all want to be seen to be doing our bit for the environment. From a public relations standpoint going paperless is a great start. According to National Australia Bank's CEO John Stewart this giant of Australian Industry is going to be carbon neutral by September 30th 2010.
One of the steps in this process is setting up their systems to be as paperless as possible. Documentation is scanned once it comes into the bank and is not re-printed several times for different departments as they go through the lending process. Instead bank officers view all the documentation online which also means that there are less chances of loan documentation being sent to the wrong area.
With several different paperless clinical document management systems available, doctors are also dipping their toes in the paperless move. Between 30 and 50% can be saved off of a practice's overheads just by implementing one of the paperless systems. The system allows a doctor to see a patient's whole chart online.
