Reflections: Form letter in response to criticism

Dear Complainant.

Thank you for your candid input. Comments like yours help us refocus on our objectives and also point out the gaps that may exist in the process we engage in every day. Although we strive for perfection, you remind us that perfection is really imperfection at work. In fact, when we pool the comments from people such as yourself, it adds up to a wealth of information without which we could not grow or improve.

We also appreciate the fact that you made a commitment to set aside the time to pass on your thoughts. You could have, just as easily, elected not to make your thoughts and opinions known. This would have been a lost opportunity. We can never receive too many comments from our customers.

The input we receive, such as yours, is studied, assessed and reviewed by the appropriate people. Once we have completed an internal evaluation, we then determine a course of action we may take. As you can appreciate, this process does take time. If we are to do any justice to the efforts people like yourself make to communicate with us, we could not do any less.

The steps we take in response to constructive criticism must be done within the guidelines, mandates and resources we currently have; however, we feel you may be reasonably satisfied to know that the steps we may take would not happen without the steps people like you take to raise our awareness.

We hope that our response to you will provide you with the confidence to keep us in mind for future needs. We will endeavor to satisfy those needs in a way that respects your expectations of us. Without customers like you, we would not have been able to achieve the successes we have enjoyed over the years. Success happens one customer at a time, one day at a time. This is what we learn from customers like you.

If there is anything else you wish to communicate, please do not hesitate to share your thoughts with us.

Ralph Waldo Emerson once said, "We aim above the mark to hit the mark." It is suggestions like yours that continue to help us take aim.
