Tips for facilitators: How to encourage participation during meetings or workshops

The first thing to consider as a facilitator is your role. No matter what position you hold in a company or group your intent is to provide a pathway for ideas, discussion, or some other activity. Take into account those things that would make it possible for you to give your full attention. Have a definite goal or several goals as your end result. Have as much mastery of your subject as possible. If necessary give the potential participants all of the preliminary information needed. A map to the location may have to be included. The announcements must be timely. Now you are in the driver's seat.

You must have and show respect for your audience or participants. That means that you are pleasant and clear in your direction. Make sure you have taken care of all the logistics needed. If participants are off their regular campus, point out simple directions as to where all of the accommodations are located. Define any other rules or regulations that may be relative to the physical environment. Ensure that proper eating and equipment is in place. For instance, if it is a meeting to address the health insurance issues for overweight employee's heavy or sturdy chairs should be included. Be aware of the lighting, temperature, and how to operate the equipment that is necessary for your presentation. Refreshments are always good and are dependent upon the time of day and length of the meeting. Let's say that you are responsible for beverages. Make sure you have regular coffee, decaffeinated coffee, juice, and water. This shows the participants that you are considering their needs. Be clear as to when they are available for consumption.

You as the facilitator set the tone for the gathering. After proper greeting and introduction, state your case. Restate the purpose for the meeting. Openly state what is expected to be accomplished and how. Clarify the need for all to participate no matter how big or small the contribution. All pieces make up the whole. The objective is to get to a certain place with the work and that everyone is needed on board. Listen. Listen. Be observant of everyone's behavior and responses. Trust your own instincts and follow cues as to how to naturally draw everyone in. Be respectful and encourage others to be. Use humor where appropriate. Call on your skills and abilities to diffuse arguments that are disruptive without losing control yourself.
Summarize what was accomplished at the end of the agenda. State your sincere appreciation for all of the contributions that were made. Be open for questions and evaluation. This helps you to grow.

The exchange of ideas and the collective efforts of the group process is fascinating work. Most of the time the person that is responsible for engineering this process is well respected in the end. Participants are more satisfied and confident in their own abilities. Everyone comes away with something.
