It's all in the details. That's the key to planning a successful business trip for your boss, regardless of their destination. Leave nothing to chance. You'll be an organizational wiz with a few tips on how to compile a detailed itinerary and ensure your boss has a trouble free trip.
Begin with transportation. Book a flexible-fare flight, in the event something unplanned arises; it makes it easier to rearrange bookings. Allow for delays at airports even to the extent of booking a flight the day prior, so your boss arrives at their destination with plenty of time to make their meeting.
If traveling internationally, ensure your boss has a valid passport and the required visas for the country they'll arrive in. Check the weather for their destination so they know what to pack.
Book transportation from their home to the airport on the day of departure to ensure they arrive at the airport 3 hours earlier than their flight. Long lines at check-in and security can be a slow process.
If they require access to an airline lounge ensure they carry their airline loyalty card. If they plan to work during the flight make sure any paperwork required is in their carry-on baggage.
Arrival at the destination airport can be a breeze with a copy of the airport layout which can be downloaded from the Internet. Highlight the area where they'll meet the ground transport you have arranged.
If pre-booking a hire care, ensure you book one with a GPS navigation system. This will make it easier for your boss to navigate a city they may not be familiar with and will ensure they can find any address required.
One thing that is often forgotten when traveling is extra business cards. Conferences and Trade Shows seem to devour them. Also any other type of paperwork, brochures or business material that is required. If it's a substantial amount have it sent by UPS to the hotel so it is there when your boss arrives.
When booking a hotel, does your boss want a business hotel? These have great rates and business facilities but some only serve breakfast and don't have room service. This means foraging for food and if meetings go late, your boss may just want the option of room service.
Also check on their hotel loyalty status as they may be entitled to a room upgrade. So ensure they carry their loyalty card with them. Also is the hotel centrally located to where their meetings will take place. Unnecessary time spent travelling between the hotel and a meeting can add extra stress especially in unfamiliar surrounds.
If you are arranging the meetings for your boss, make the other party aware that your boss will only be in that city for a limited time. This puts more urgency on the meeting and deters clients from changing meeting times at the last minute.
Communication problems can occur in some foreign destinations there may be a problem with mobile phones or laptop sprint cards so ensure your boss carries a hard copy of names and numbers.
Finally, staying in hotel rooms for long periods can send anyone a bit stir crazy so make a list of good local restaurants and places of interest for your boss. Check with the hotel if you can't find any information on the Internet.
Compile all the travel arrangements with as much detail as possible, including names, addresses and phone numbers. Give a copy to your boss and keep one with you for the duration of the business trip. So if something does go awry you will have all the information on hand and hopefully be able to fix it quickly.
Good organization and planning are essential not only for a successful business trip but for successful business.
