How to keep your travel documents safe

Traveling abroad? Here's some tips on how to keep your travel documents safe as well as what to do if they've been lost/stolen.



Getting Ready...

You've filled out every application, taken a few unflattering pictures, and perhaps had blood work and vaccines done and finally, you have your passport and visa. Now what? Before you do anything else make copies, lots of copies, of every page. Also copy your ID, travel itineraries including your airline tickets, hotel reservations, and any excursions you have purchased making sure payments and contact information for each company are legible. If possible scan the documents and email them to yourself. No scanner? How about taking a high res picture with a digital camera. This way you will have access to your documents via computer if you loose all of your hard copies.



Why so many copies?

First, leave a full set with a friend or relative at home who can help out via fax or fedex if you need something sent to you. Next, pack a set hidden in your checked luggage- especially helpful if you loose them in transit. And finally, just in case, carry a copy with you but in a separate place from your originals. Best to keep originals on your person in a travel belt etc... and then you can keep a copy in your purse or carry on.

When you arrive at your destination check with the front desk to see if they offer a free INSURED safe. Most large hotels will insure items kept in their main safe but may not insure the in room safes. In room safes are, of course, better than nothing. If you don't trust the hotel don't give them your documents or perhaps just give them a copy, not originals. Always make sure you hand over these sensitive documents in a sealed envelope with your name, room number and cell number on the outside- less chance of someone getting curious and attempting an identity theft.



What to do with the copies if you loose your originals?

First, call the American Embassy or Consulate closest to you and tell them what happened. Hopefully with your copies they can arrange to get you what you need so you do not get delayed returning home. If you loose your copies ask where and to whom you should have your copies faxed, emailed, fedexed. Aren't you glad someone else had a copy?

If you've lost your travel documents call the customer service number listed on your copies. Most travel companies operate by E Ticket/ Confirmation Number in conjunction with a photo ID. This means that as long as you have the confirmation number and an ID you do not need an original paper ticket. If you were unlucky enough to get a paper ticket call ASAP and stay on hold as long as it takes - be prepared to be on hold and transfered quite a bit. Hopefully your copies will suffice along with a note placed in your record by the agent on the phone.

What to do with your Passport/Visa when you get home...

If you do not travel often keep them in a safe deposit box if you have one. If not or if you travel often keep them in a safe place in your home and stash a copy somewhere else... just in case
