Working in an office means that there is a lot of paperwork. Keeping that paperwork organized can save a lot of precious time and keep frustrations at bay. When papers are strewn haplessly about your desk and office area you may not be able to quickly find that one piece of information your boss wants immediately.
Here are some tips for keeping your paperwork organized:
File As You Go
Filing is tedious work and it gets even more so when you allow it to pile up. File away all completed paperwork as soon as work is completed on it. This will allow you to easily find whatever it is that you are looking for without having to dig through piles of unorganized work. It will also make you feel better when your desk and office are clear of all unnecessary papers. You will feel far more accomplished and less stressed out. The best thing about it is, your boss will be impressed by your organization skills.
Inbox
You should have a place for all incoming paperwork that needs to be done. Have any incoming paperwork laid facedown in the basket so that you know what came in first. This will allow you to work through it in priority of first come first serve. Things can be left out if you just grab whatever is laying on your desk. Having a work plan means that you will be able to complete the tasks in a more timely fashion.
Priorities
You can also create a space for people to place high priorities items in. These things should be taken care of first so for whatever purpose it needs to be done right away. This work will get done immediately and no one will be in search of you to find out why it isn't done yet.
Cork Board
Using a cork board to hang all of the papers that you may need for reference is a great way to keep the information you need close at hand without getting it mixed up with your other work. Do not place reference items in your work pile. It won't be readily available if you need to refer to it quickly. It can also be inadvertently thrown in the trash.
Out Box
All paperwork that needs to go to someone else once you have completed it should go in the out basket. Delivering these pieces of completed work before you leave work for the day will allow your desk to look better and you will feel better. It also lessens the chances of something happening to the paperwork while it is in your possession. Never put this task off.
Time to Clean
Throw away any paperwork that is no longer necessary. Use the recycle bin where appropriate. There is no reason to keep paperwork laying around that is no longer needed. It takes up space and leads to frustration in the end. If you work in the accounting department, it is important to ask your boss before throwing any information away. Some finance work has to be kept for many years before it can be destroyed.
If you keep your paperwork organized daily you will find that your frustrations will be lowered along with your blood pressure. It is wise to put a plan into action so that you can be more productive and your boss happy. Don't put it off, just get it done.
