Interruptions are the leading time robber in the workplace today. As a former time management trainer, here are seven techniques to help you handle interruptions skillfully:
1. State choices to the person interrupting. The number one question in the workplace: "Do you have a minute?" When asked, say: "I can give you a minute now or twenty minutes later".. If the co-worker opts for the twenty minutes, indicate the time and write in your daily planner to demonstrate your sincerity.
2. Visit co-workers hen you have business issues ot discuss. Meeting outside your office allows you to better control the environment. Excusing yourself shows respect, asking a co-worker to leave is clumsy at best.
3. Take initiative. If a co-worker says,"I cannot meet at 2pm as scheduled". Don't say, " When is a good time for you?" . Here, you have handed the control over placing yourself in a negative negotiating position. Here's a suggestion: " all right. Then how about meeting at 3:30?"
4. Repeat your statement. This is the broken record technique. It keeps the conversation focused. It is particularly effective with a poor listener who talks too much. When the co-worker attempts to take you away from your position, it may may be necessary to politely interrupt him by using the broken record..
5. Maintain your work posture. If a co-worker approaches you and interrupts, continue the task you were immersed in. Frequently, the co-worker will get the hint. Please be realistic... no techniques is 100 percent effective.
6. Command authority. When the interrupter approaches, stand up to talk and walk toward the person. By standing and moving, your body posture communicates a sense of urgency and authority.
7. Learn how to say no through the USA method. USA is making an Understanding Statement followed by a Situation Statement and a Action Statement. To maintain assertiveness, the key is to communicate in statement format. Example: At 10am, you are sitting at your desk working on a project. A co-worker says, "Could I talk with you for a few minutes"" If you say yes, you are getting interrupted. If you say no bluntly, you have burned a bridge that you may not be able to build again.
Suggestion: Understanding Statement" " Bob, I'm sure this problem is important. SitautionsStatement: "I'm working on a report that I promised would be completed by 11am." Action Statement: "Let's get together this afternoon at 3pm.
In conclusion, handling interruptions effectively will increase your productivity with this behavior will also build bridges with your co-workers!
