Writing a cleaning bid is one of the most important steps in establishing your business. So, how can you write a professional cleaning bid? First, know your business. Second, your cleaning bid should be self explanatory. Third, always be prepared and on time when seeing the customer. These three steps will reassure the customer that you are a true professional.
Your cleaning bid should have your company's name, address and phone number on it. There should also be a place for a job number, date, customer's name and address, contact person and phone number. Sometimes you will need a place for two addresses. One address for billing and one for where the work is to be done. Finally, what type of cleaning is being offered for this bid. Is this a home cleaning, move out, office or new construction cleaning?
When writing a cleaning bid, be sure to state what exactly is being offered and included. For example, we propose to furnish all cleaning supplies and equipment for the following. You should include that the work will be done according to the customer's specifications which may include a certain time frame. The body of your cleaning bid should show details of the work that needs to be done. It is a good idea to have a checklist. It makes it easier to just check off what the customer wants done. Another helpful tool is a form that will describe everything that is done for this type of cleaning. It will also show what your company doesn't do. This can eliminate any confusion later.
Now you are ready to do the walk through of the premises. Have your notebook ready to take notes on how many rooms or offices. Is it carpeted or wood floors? Ask questions about certain things if your not sure. Does the customer want the basement cleaned? If it is a move out, do the walls need to be cleaned? You don't want any misunderstandings later because it makes the company look bad. After a tour of the premises, you should have a good idea on how much time it will take to clean.
Be sure to include this information in your bid. Amount of rooms, bedrooms, finished basement and baths. Include specific things that need to be done. It is important to include anything that takes more time or shortens the cleaning time. Even if this is a cleaning bid for an office, always write the specific things that need to be done. There might be certain offices that shouldn't be cleaned or floors that need to be cleaned with a special product that the company provides. Whatever special needs are requested,
