How to write a cleaning bid

When writing a cleaning bid this is your chance to sell yourself and your company on why someone should use you for the cleaning services.  Most companies do an acceptable job but with the right approach and a proper bid proposal you can get the business.  Like any contractor business it's all about your relationship you build with your client and the image of your company.

Initial Meeting

One of the most important steps when you want to gain new business is your first meeting.  This is where you approach becomes critical.  You will get new business in three different ways.  One way is a potential customer might call you by an ad they saw in the yellow pages.  The initial meeting is done over the phone, here you have about thirty seconds to make a good first impression and a few minutes to set an appointment to do a walk through on the proposed cleaning site.  Another way you might get new business through a government or company bid.  In this situation it's a good idea to meet with the decision maker and the number one influencer.  The influencers are usually the ones affected the most by the cleaning crew.  It might be the workers or manager in that area.  When in doupt just ask.  You need to get an assessment of the things being doing right and things being done wrong.  The third way you can get new business is by walking into a place of business to let them know who you are, what you do, and the name of your company.  At this point you are just introducing yourself and setting up a time when you might be able to propose a bid for their company.  The main thing you are trying to do when you first meet your future clients is to find a common ground.

Walk Through

When writing a cleaning bid it's important to know exactly what needs to be cleaned. Ater your initial meeting with your future clients you will need to know the standard that they expect.  Here is where you ask as many questions as you need to be able to understand what the customers are wanting.  For example, the desk should be left a certain way and computer screens dusted but no spray cleaners. When a bid is written it must be spelled out and articulated on the image that's desired. Another major thing to consider is how often the floor needs to be waxed and from that how often it would need the wax stripped off.
