sure there is enough room to accommodate everyone who will be in attendance. If the contest is to be held outdoors, be sure to have a back-up plan should Mother Nature be disagreeable on the Fourth of July. Know all the local codes regarding the maximum number of people you can have at that location. Don't forget to make sure there is enough parking for everyone and that traffic will not be obscured. Remember that some of those attending may have special needs that should be met, such as ramps, larger parking spaces, etc. Of course, don't forget the restroom facilities; make sure there is enough for everyone.
Now it is time to decide how many guests you will have. Deciding on that specific number is usually best done after choosing your location. That way you can narrow down your list once you know how many people your location will accommodate. If this is a fundraiser, selling tickets is a great way to know how many will be in attendance. Do not sell more tickets than your location can handle.

In most cases, posters around your local area would be enough. If you are planning a much larger event, television and radio advertising can also be used. Don't forget to let potential competitors know a prize will be awarded and to mention what that prize will be. Mention the entry fee and the limit of participants, if you have a limit. However you decide to advertise, be sure to let everyone know that a ticket is required, unless you have a location that will accommodate many more people than number of tickets expected to be sold. If that is the case, mention that there will be "limited seating available to those without tickets" and the price at the door. You do not want to be turning people away because there is not enough for them.
