Any type of business whether big or small, anything is commonly considered organized when it looks like everything has a correct order of placement. But it's only ultimately organized if any element has no difference on time taken to find it. In that sense, organizing can also be defined as to place different objects in logical arrangement for better searching. Organizing is the act of rearranging elements following one or more rules.
A lot of errors were caused by lack of unity. Minor errors may occur from either computer or human error. However, if you have a well organized business you can clearly see where the error came from and upon identifying the problem you can make revisions to prevent the error from happening again.
In any type of business you must be able to create a system. You must have a concrete flow of your business activity. The delivery flow, cash flow, order taking, servicing, sales and accounting must be outlined.
Big or small you must have a clear organizational structure. The people handling the particular positions must be clearly identified. Even if your company functions with just two or three people, the person identified to the organizational structure must be visibly identified. Job descriptions must be clearly defined.
Purchase a software about your business financial system. Choose a system that can assist you with almost everything you need to get organized regarding your financial flow. Keep an organized filing system. Make a folder for each customer and file them in either alphabetical order or by location or by volume of business. It all depends on how you can easily access a customer's file. Keep the folders in a filing cabinet so you can easily access the customer's file when you need it.
Aside from the physical files you can store all those file in a computer. If the physical file was misplaced the computer could come handy. As another back-up buy a USB flash drive to transfer all the data from the computer into tiny a key chain size storage. Whatever happens to your computer you can move all the files to another computer. It's better to be safe than to be sorry!
You cannot promise to deliver an item that is not available. Due to this accurate product inventory must be available. This can be done through the use of a computer. Physical inventory must likewise be implemented. It can be scheduled on a daily, weekly or monthly basis depending on the type of business and volume of inventory and transaction. Products must be well stocked in an organized file to easily perform inventory. For example each shelve must have a stock of five files for that particular item in one row. The number of rows may vary but as long as you have a uniform stocking you're fine.
Draw a map of your warehouse and post it on the wall. All aisles must be identified so whoever takes-over can easily adjust to the entire location. Shelves must be clearly labeled. If you can afford to put a bar code to your product, do it. Put fast moving items in a more accessible place. Make sure to provide enough room to move around your warehouse.
Always remember, whatever type of business you may have, be organized.
